A simpler way of working. Managing estates and related claims involves multiple parties, multiple requests, and repeated information. estateXchange brings this together into a single, consistent approach. Instead of repeating the same information across different organisations, information is shared once, verified where available, and used across the estate or claim. ## See it in action ## How estateXchange works **01** ### **Information is captured once** Core information about the deceased and the estate or claim is provided in a simple, structured way, including easy upload of key documents. That information is captured once and can be used across the estate or claim without needing to be re-entered. **02** ### **Information is shared securely** That information is shared with relevant Participants, allowing it to be used across multiple interactions without being repeated. **03** ### **Information is verified and progressed** Documentation and information can be verified, and requests can be progressed more efficiently within a consistent and secure framework. ## What this means in practice - Reduce repeated requests and re-entry of the same information across organisations - Improve turnaround times by minimising delays and follow-ups - Increase the reliability and completeness of information - Support more confident verification and decision-making - Provide clearer visibility across the estate or claim ## A more consistent way to manage estates and claims estateXchange provides a structured and secure way to share and verify information across organisations. It works within existing processes and systems, reducing duplication and enabling matters to be progressed more efficiently, without requiring major change or integration. All users complete an onboarding process before being granted access, providing confidence in interactions between Professional Representatives and Participants. ## See how estateXchange works for you [

Welcome to estateXchange. ## Our purpose Our purpose is to take the complexity out of deceased estate administration. Then tell us which users in your organisation you want set up in estateXchange, along with your basic configuration preferences. We'll complete our onboarding checks and get you set up, so you're ready to transact. We've had solicitors transacting the same day they registered, and banks set up within 24 hours. Registration can be completed by any individual on behalf of your organisation. At the final step, contracts must be executed by an authorised signatory who is legally permitted to sign on behalf of your organisation. Sign-up is designed to be straightforward and efficient, when you have the required information available. In some cases, organisations have completed sign-up in under an hour! Where your organisation requires detailed contract reviews, technology questionnaires or data security assessments, these can be managed as part of onboarding to enable you to begin using estateXchange as soon as possible. Following completion of all required documentation, account activation will be completed within one business day. Once your account is activated, you will receive a welcome email with a link to access the platform. You will be prompted to set your password and multi-factor authentication, after which you can begin using estateXchange. Multi-factor authentication is required to help keep your account secure. Guidance is provided within the platform to assist you in connecting an authentication app to your estateXchange account. Click [~~here~~](https://www.estatexchange.com.au/account-set-up-and-multi-factor-authentication) for support setting up an authenticator app. ## How estateXchange works estateXchange is a secure, cloud-based platform that does not require installation or integration with your systems. You can access it via a secure online login. No. estateXchange provides a structured environment to support administrative work. You remain responsible for managing the estate or claim and determining how your processes are applied. estateXchange is designed to work alongside your existing processes and workflows. You retain full control over how you manage estates and claims, with minimal, if any, process change required. As you begin using estateXchange, you may identify opportunities to reduce duplication and streamline your processes. Our support team can work with you to help realise these efficiencies and maximise value. No. You can continue to use existing communication channels such as email, post, phone or in-person interactions. estateXchange can be used alongside these channels, with documentation uploaded where appropriate. Yes. You can continue to manage estates and claims within a Workspace and use Notify+ to send structured notifications and documentation to organisations outside the network. You can also use our suite of Standalone Tools, which are designed to be used without the need for any other parties. This means you can start using estateXchange straight away, even where other parties are not yet part of the estateXchange network. We're sorry for your loss. Dealing with an estate or claim after a bereavement can be difficult, particularly when you are being asked to provide the same information to multiple institutions. estateXchange is designed for Professional Representatives and institutions involved in deceased estates and related claims. It is not available for individuals to use directly. If you are working with a solicitor, professional trustee, or financial adviser, you may wish to ask whether they use estateXchange to help share and manage information with institutions. ## Working with others Workspaces are initiated by Professional Representatives. Once a Workspace has been created and minimum information has been provided, you can invite Participants from a list of active organisations within the estateXchange network. If you are a Professional Representative, it's easy to see within estateXchange which organisations are Participants and can be invited to collaborate in a Workspace. You can also see which organisations can be contacted using the Notify+ feature. Both lists are continually growing. If you are managing shareholdings with share registries, we also maintain detailed mapping to support seamless engagement with the right registry. Yes. Using the Notify+ feature, you can send a structured notification to organisations outside the network where a public-facing email address is available. Notifications include key information about the deceased and a compiled PDF of selected documentation. This allows Professional Representatives to work in a more consistent way, even where an organisation is not yet part of the estateXchange network. estateXchange is designed for business-to-business use. It is not intended for communication with individuals such as family members or beneficiaries. A 'Notification of death' email indicates that a registered Professional Representative has identified a likely relationship between an estate they are managing and your organisation. They have used Notify+ to send a structured notification. The email includes key details such as name, date of birth and date of death, along with a PDF containing supporting documentation. You can respond directly to the Professional Representative using the contact details provided. ## Security, data and compliance estateXchange is designed with security as a priority. We maintain a formal Information Security Management System to support the security, availability, confidentiality and integrity of our systems and data. We hold ISO 27001 certification and SOC 2 Type 2 attestation, and maintain ongoing compliance with these frameworks. estateXchange is not intended to be a long-term storage system or system of record. You should download and retain relevant documentation within your own systems. Yes. We will work with you and relevant operational, technology and risk colleagues to understand your needs, and set you up for success. Integration can be explored over time and is not required to begin using, and realising the benefits of, estateXchange. If your organisation uses network security tools that inspect or block file uploads and downloads, we recommend asking your IT or security team to allow traffic to estateXchange, including file uploads and downloads. This helps avoid issues such as documents failing to upload. Click [~~here~~](https://www.estatexchange.com.au/network-and-security-allowlisting) for the list of addresses to allow and guidance to share with your IT or security team. ## Get started with estateXchange [Join estateXchange](https://www.estatexchange.com.au/join) [Request a platform demo](https://www.estatexchange.com.au/contact) --- - **Page:** Contact | estateXchange - **Source:** https://www.estatexchange.com.au/contact - **Description:** Get in touch with the estateXchange team. # Contact us Email us at [~~hello@estatexchange.com.au~~](mailto:hello@estatexchange.com.au) --- - **Page:** Terms and Conditions | estateXchange - **Source:** https://www.estatexchange.com.au/terms-and-conditions - **Description:** The terms and conditions governing your use of the estateXchange website. # Terms and Conditions This website is owned by estateXchange Pty Ltd ACN 668 082 880. Estate planning professionals know that the success of an estate is largely determined long before death occurs. A well-constructed will, carefully considered superannuation nominations, testamentary trusts and thoughtful tax structuring are hallmarks of high-quality professional advice. These decisions shape the ultimate transfer of wealth and are why families rely on experienced lawyers, trustees and advisers. But even the most carefully designed estate plan must ultimately interact with the financial system that surrounds it. Australia is on the cusp of a $5.4 trillion intergenerational wealth transfer, but new research suggests the system managing deceased estates is already under significant strain. Based on a national survey of Australians with firsthand experience administering an estate, the report highlights a process that can take 9 to 12 months, involve up to 37 different institutions, and leave lasting impacts on those navigating it. Beyond the human toll, the findings point to broader implications for banks, superannuation funds and other providers, including shifting customer behaviour and rising operational and regulatory pressure. As new entrants move into the space and scrutiny increases, the report raises questions about whether the system is equipped for the scale of wealth set to change hands.
